How do I get my availability in iCal format?

If you'd like to  get access to your availability calendar in other systems that support the standard iCal format (such as Google and Microsoft Outlook) then you can provide a unique URL link to myvrzone that will update those calendars automatically.

This provides a one-way link where you can see the availability on, say, your personal calendar or mobile device. A second type of link is provided that shows Availability per day (rather than what's booked) aimed at those with multiple properties so that they can look at a day and know instantly if they have availability in any property and how many days there are either side.

From this point onwards it is assumed that you really know what you are doing when it comes to the use of the ical data. See the sections at the bottom of this page for help setting up Google and MS Outlook calendars.

What is the URL I need to use?

This is the general form of the URL:

http://www.myvrzone.com/Services/ICAL/?t=TYPE&cid=UID-PID&token=TOKEN

where:

  • TYPE (optional) is the display type - reservations or availability per day. Leave this blank for reservations and set it to "a" for availability.  You must also set the TOKEN for "a" to work - if you don't then you'll just see the reservations.
  • UID is your system user ID and can be found in the top-right area of the screen, next to your name, when logged in.
  • -PID is a particular property ID and is shown on the Setup>Main >> Property Tab to the right of the Property select box inside the square brackets as [PID#]. If PID is set to "0" then all properties will be included in the output. This is ignores if TYPE is set to "a".
  • TOKEN (optional) is your account token and can be found at the top of the Setup>Main >> Account>Info tab. If provided, and correct, then more information about the reservation is provided - all reservations from 2 months ago onwards are shown along with the Guest name, contact info and the reservation notes. If not provided then just the confirmed/pending reservations are included, showing the property name and reservation. This must be set if you set the TYPE to "a". Don't use the token if others are going to see the calendar - the token is private and is for owners eyes only.

Note that if you click on the http example links then you will just see a bunch of raw data - it is not designed to be human readable. If you are using an application that reads the ical format then give it one of these links to see what it really looks like. (I've included webcal links that you can click on to  open an application on your computer system to view the data if you know what that is.)

These examples are for a demo account with UID=2 and TOKEN=0701PDBQCZV8xX1.

Viewing Availability per day (for those with multiple properties)

Each entry shows the number of properties available in the title and then inside gives a list of the properties that are available, along with the number of days before and after the current day that are available.

You should be able to look at a day and know if you have availability by looking at the info inside.

NOTE that days with no availability do not have an entry. However, after the latest reservation  of all properties, no more entries will be created in the calendar. So if you look far enough ahead, it may look like there's no availability - but it's just because the date is after the latest reservation.

Caveats

There is no timezone set so your property arrival/departure times will show up in your local timezone no matter where your actual VR property is. If check-in is at 4pm in Florida (GMT-5h) then you'll see the event showing up at 4pm on your calendar in the UK (GMT+0h) as well rather than at 9pm.
